We apply an open, transparent, iterative session review, improvement and selection process. It consists of the following phases:

Sending in a proposal: send in your proposal(s) providing proposal details as mentioned.

Open, interactive reviews and feedback, helping presenters develop their proposals, based on peer to peer feedback. Proposals are put on the wiki. You can give feedback on other people's proposals and improve your proposal based on the feedback you receive. The objective of this phase is to come to a set of quality session proposals in a transparent, community driven way.

use the PerfectionGame as the basic protocol for review & feedback

if you like, ask for a coach to help you develop your session

if you really want to develop your session in an agile way, do one or more trial runs during this phase, to develop your session idea based on concrete results

when you propose a session, we ask you to give feedback on other people's proposals

Session selection where we ask for input from the community to vote for the sessions they would like to have in the conference. The program committee takes this information into the program meeting to compose a balanced program that fulfills the conference objectives. The objective of this phase is to get a program that fits in two days, which is supported by the community and which has added value for the community.

Session preparation. We can provide coaching for presenters, to help create an even better session. For new sessions, we strongly recommend doing one or more try-outs. The Dutch and Belgian agile communities will provide opportunities to do try outs. (and don't forget to prepare your OHMP - official half minute presentation).

To propose a session, please send in a description to sessions using the following template:

title

presenters - including bio & previous experience presenting sessions; we prefer sessions run by pair presenters.

abstract - inviting, clear, brief statement of what the session brings and why someone should participate

format & length

intended audience - including prerequisites, level, role - developer/manager/...

objectives - what is the focus of this session? What is the one idea you want to get across? When will you consider the session be a success?

benefits - what are the benefits for the participants? and the benefits for the presenters?

content, process & timetable

session history: has the session been run before? do you have try-out(s) scheduled?

materials, room requirements, session limitations, ...

Eventually, we need a sufficiently elaborated proposal to be able to do reviews and selection. Feel free however to start with a wild/rough idea and let it grow based on the feedback you receive (please state your intent in your proposal).

The session length is a multiple of 30 minutes :

30 min. for presentations & experience reports

60 & 90 min. for tutorials, workshops, hands-on sessions, etc.

We want to build an attractive program with high quality sessions. Keep in mind the ReviewCriteria and remember that the best way to get to a quality session is in our experience by actually trying it out and improving using real feedback. We expect you to do one or more trial runs of your session before the conference. We will help you by providing guidance and creating community based opportunities for try-outs, both during the session feedback process and after session acceptance.

Timeline

May - 15 July: propose sessions; reviewing & improving session proposals iteratively

15 July - 8 August: final reviews

8 August - 1 September: community voting

1st week of September: Program Committee meeting

September-November: session preparation, including coaching & try-outs

25-26 November: conference

Note that if you come by car and you haven't been around Eindhoven for a while, do not use your navigation tooling. The Eindhoven ring has changed dramatically (and may still be subject to more changes). Coming from Den Bosch, Tilburg or Antwerp go to direction Venlo (A67) and take exit 34 Geldrop or go to direction Maastricht (A2) and take exit 34 Valkenswaard.

Session review criteria

Useful questions to keep in mind when writing and reviewing session proposals, are:

Who will be interested in this topic? Would you go to this session?

Is the session description clear and inviting? Will it attracted its intended audience?

What prior knowledge is expected of participants?

What value will this session bring to its participants and organizers?

Why is this subject relevant to agile & beyond?

How does this session fit the conference?

What's innovative and unusual about the session, the topic, the format, ...?

Does the session also address why things (don't) work as they do and not just 'what' and 'how'?

What is the goal of the session?

Is the session structured in such a way that the goal of the session can be reached?

Is the timetable realistic?

How does the session format facilitate learning?

What are the expected results and outputs of the session? Can these be communicated to people who were not at the session?

We strive to make the process open and transparent and involve the community in the process. There's however no such thing as a completely objective selection process. We can state criteria for sessions to be acceptable, but acceptance depends on more than that alone, like ensuring a balanced program suitable for the audience. We apply a number of global criteria for this purpose:

balance between experienced presenters and people new to presenting at conferences

diversity of presenters; mix of new and experienced presenters

balanced mix of beginners and advanced sessions; presenters from different countries

diversity of topics, covering technical stuff, process, management,

balance between real world experiences, tools/techniques, innovative ideas

max. 2 sessions per presenter, max. 1 session per presenter per day

We encourage active participation of everyone in the session. Here are a number of session formats that suit the conference:

Simulation, game - A simulation or game lets participants experiment with and experience new concepts and includes reflection to see how the new concepts can be applied in real-world settings. This can be e.g. a game like the world famous XP Game or an experiential role play session

On the Edge - an experiment in ways of working, interacting and transferring knowledge; exploring new, crazy ideas, topics, formats, approaches that are weird or way out there, looking for ways that could advance our practice and our community.

Technical hands on - a technical session where participants work on exercises or cases provided by the session organizers, to practice and improve their skills; usually technical hands on sessions require people to bring laptops and do hands on (pair) programming work, but we can also imagine hands on pen & paper & cards & stickies-sessions.

Workshop - an interactive, facilitated session in which participants work in a structured way on a topic set by the workshop organiser. Workshops can explore new topics, techniques, practices, or share experiences. Usually a workshop will have certain outcomes, like conclusions, ideas for further investigation, etc., which can be shared through posters, put on a wiki, ...

Case study, experience report - telling the story of a case study, sharing experiences of what worked in a specific situation & why, what didn't work & why, what lessons did you learn; although experience reports have a more one-way character (presenters telling their story), the format lends itself well for engaging participants, e.g. by letting them reflect on how they would approach things, why they think things worked/didn't work, or even letting them play out specific situations.

Interactive tutorial, demonstration - the session organizers present some new ideas, concepts, techniques or tools and involve the audience, so that they can learn by doing and reflecting.

Goldfish bowl - a moderated discussion on a chosen topic; the organizers seed the discussion with a topic or some triggering statements, and the audience joins in the debate. The session starts with a small group of invited participants forming a discussion circle (4-5). Discussion takes place in the discussion circle, with the rest of the participants being the audience. There is a spare place available in the circle and anyone who likes to contribute to the discussion can step in. Someone who is already in the discussion circle will step out to make place for the new participants, always leaving one chair empty. The session organizers should take care of producing some output of the topics discussed and conclusions reached, e.g. a poster.

Panel discussion - a moderated discussion on a chosen topic, with a number of invited participants. The audience can contribute through asking questions of the panelists. When organizing a panel discussion, make sure your selection of topic and panelists will provide sufficient dissent and differing opinions, to have a lively, interesting debate. Nothing is so boring as a panel where everyone agrees.

We're open to suggestions for other session formats.

Wake-up Program

Pre-conference wake-up sessions

If you're staying at the hotel or if you're really early, you can participate in our 'pre-conference wake-up sessions'.

To maximize our ability to enjoy the coming day, we start by emptying our minds. The practice of Za Zen is a good tool for that. Certainly if we can use the meditation cells of the monastery Kappelerput used to be.

We just sit down and follow the three instructions :

position your body,

place the breath into the body,

put your mind onto the breath.

Then the excercise starts by observing how our mind struggles for attention. It wants to have something to do. But we just observe and don't react. After a while the mind calms down. We're taming the beast :-)

We'll do that twice in short sessions of 10 minutes. We'll have a few minutes between them to allow people to join in.

To finish, with a clear mind, we move the focus to our body - which will have to carry us through the day. For about 20 minutes we'll do some simple stretching excercises known as Makko Ho.
All the excerices are based on the aikido preparation of Ken Gyu dojo.

You'll be guided by Olivier Costa

Requirements

loosely fitting clothes help.

sitting on a cushion helps a lot. (We'll have some available)

Olivier Costa combines agile aspects with his passion for aikido. Both seem to emerge from the same source, using similar principles. More and more he moves from mere programming to guiding people and teams towards more natural ways of working together.

The XP Days offer him a great forum to talk about this, and get a lot of useful feedback.
